SF 180 Request Military Records: How to Get Your DD-214 for a Federal Buyback

Why the DD-214 Comes First

The military buyback process cannot move forward without a certified copy of your DD Form 214 — specifically Member Copy 4 or Service Copy 2. These are the only versions that show character of discharge and any lost time, both of which DFAS and your agency HR require to calculate the deposit.

If you have your original discharge paperwork filed safely, you can skip the records request entirely. But if your copies are missing, damaged, or you only have the abbreviated Member Copy 1, you need to request the full record from the National Personnel Records Center.

Standard Form 180: The Paper Route

Standard Form 180 is the official request form for military personnel records maintained by the National Archives and Records Administration (NARA). You can download it from archives.gov, fill it out, and mail or fax it to NPRC.

Key fields to complete:

  • Section I: Your full name, Social Security number, date and place of birth, and branch of service
  • Section II: The specific record you need — check the box for "DD-214 / Separation Document" and specify Member Copy 4 or Service Copy 2
  • Section III: Your signature and the purpose of the request (federal retirement / military service deposit)

Mail the completed SF-180 to: National Personnel Records Center, 1 Archives Drive, St. Louis, MO 63138.

eVetRecs: The Faster Option

The eVetRecs portal at vetrecs.archives.gov lets you submit the same request electronically. The system walks you through the required fields and generates a signature form you can e-sign or print, sign, and upload.

eVetRecs submissions route to the same NPRC staff as paper requests, but they skip the mail room. You'll receive a confirmation email with a tracking number. The system does not provide status updates — if you need to check on a pending request, call NPRC at 314-801-0800.

Processing Time: Set Realistic Expectations

NPRC's standard processing time is approximately 90 days. That number is not a worst case — it's the median. Complex requests involving reconstructed records (common for service before 1973, when a fire destroyed millions of files at the St. Louis facility) can take considerably longer.

If you're within 12 months of retirement, submit your records request immediately. The DD-214 is the first document in a chain that includes DFAS earnings verification (30–45 business days), agency HR deposit calculation (30–45 business days), and payment processing. A 90-day delay at the front of the pipeline can push the entire buyback past your separation date.

What to Do If Your DD-214 Has Errors

Incorrect service dates, wrong character of discharge, or omitted periods of active duty on a DD-214 will freeze the buyback process. DFAS cannot issue an accurate estimated earnings statement from a DD-214 with wrong dates, and your agency HR cannot certify a deposit against unverified service.

To correct errors, you'll need a DD-215 (Correction to DD Form 214). The correction request goes to the Board for Correction of Military Records for your branch of service — a separate process from NPRC that adds three to twelve months to the timeline.

Guard and Reserve Members: Multiple DD-214s

If you served in the National Guard or Reserves and completed multiple Title 10 mobilizations, you likely have a separate DD-214 for each activation period. You need every one of them. DFAS requires a completed RI 20-97 for each branch of service, and your agency HR needs to verify each period of creditable active duty independently.

Title 32 training periods (drill weekends, annual training) do not generate DD-214s and are not creditable for the military service deposit. Only Title 10 active-duty orders count. Check Block 12 of each DD-214 to confirm the statutory authority for activation.

Protecting Your Records Going Forward

Once you have your DD-214 copies in hand, make both digital scans and physical copies before submitting anything to DFAS or HR. The originals should stay in your personal file — submit copies only, and keep a log of what was sent, to whom, and when.
